About the job

We are looking for a proactive and organised MBA Fresher to work closely with the Director of Finance and provide day-to-day administrative, coordination, and follow-up support. The role will involve managing emails, tracking action items, coordinating with internal teams and external stakeholders, following up on pending matters, preparing Minutes of Meetings, and ensuring timely closure of tasks assigned by the Director of Finance.

Key Responsibilities:

1. Manage and monitor the Director of Finance's emails, including drafting responses, preparing replies and highlighting important matters requiring attention.
2. Maintain a daily tracker of pending tasks, follow-ups, commitments and action items.
3. Follow up with Finance, Accounts, HR, Operations and other teams on pending requirements and ensure timely closure.
4. Coordinate with internal teams, vendors, auditors, consultants, banks and other stakeholders as required.
5. Prepare follow-up emails, reminders, status updates and routine correspondence on behalf of the Director of Finance.
6. Attend meetings with the Director of Finance, take detailed Minutes of Meetings (MoM), document key discussions and decisions, and track action items to closure.
7. Schedule and coordinate meetings, calls and discussions as required.
8. Prepare and circulate meeting minutes and follow up with concerned stakeholders on agreed action points and timelines.
9. Assist in preparing MIS reports, presentations, trackers and basic financial summaries as required.
10. Collect and consolidate information/data from different teams for review by the Director of Finance.
11. Maintain proper records of important documents, approvals, correspondence and finance-related information.
12. Support the Director of Finance in coordinating approvals and ensuring that agreed timelines are followed.
13. Handle confidential financial and business information with discretion.
14. Take ownership of routine follow-ups and ensure that matters do not remain pending without proper updates.
15. Perform other coordination and administrative responsibilities assigned by the Director of Finance.
