Role Description The Executive Secretary role is a full-time, hybrid position based in the Kolkata metropolitan area, with some flexibility for work from home. The role involves providing comprehensive executive administrative support to senior leadership, including managing calendars, scheduling meetings, coordinating travel, and preparing correspondence and reports. The Executive Secretary will maintain organized records and files, handle company secretarial documentation, and assist with internal and external communications. Day-to-day tasks include drafting and reviewing documents, responding to inquiries, supporting customer interactions, and coordinating with internal teams and external stakeholders. The role also involves handling confidential information with discretion and ensuring smooth office operations.

Qualifications

• Candidates should possess strong clerical skills, including document management, filing, and data entry.
• Candidates should possess excellent communication skills, both written and verbal, for interacting with executives, staff, and external partners.
• Candidates should possess experience in company secretarial work, including handling official records, minutes, and compliance-related documentation.
• Candidates should possess executive administrative assistance skills, such as calendar management, travel coordination, and meeting preparation.
• Candidates should possess customer service skills, with the ability to manage inquiries professionally and support client-facing interactions.
• Proficiency in MS Office (Word, Excel, PowerPoint), email and calendar tools is required.
• Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks effectively.
• Prior experience supporting senior management in a construction, engineering, or industrial firm is an advantage.
• A bachelors degree in business, administration, or a related field is preferred.
