About the job

We are looking for a smart, responsible, and hands-on Executive & Business Assistant who can work closely with the business owner and take responsibility for a wide range of day-to-day business activities.
The ideal candidate should be comfortable working in office as well as visit warehouses, markets, vendors and project sites whenever required.
The person should be good with numbers, computers and communication, have basic accounting knowledge, and be willing to learn our products, systems and processes. We will provide training wherever required and develop processes/SOPs together.

Key Responsibilities:
1. Executive Assistance & Office Coordination, Handle emails, correspondence, follow-ups and documentation.
Maintain schedules, reminders, meetings and important follow-ups.
Coordinate with vendors, customers, dealers, architects, contractors and internal teams.
Prepare documents, reports, presentations and other business-related requirements.
2. Accounts & Commercial Work:
Prepare Proforma Invoices, Quotations and Sales Invoices.
Maintain and update billing and payment records.
Assist in purchase and expense documentation.
Maintain project-wise income and expense data.
Understand basic accounting concepts such as sales, purchase, expenses, gross profit, margins, receivables and payables.
3. MIS, Database & CRM:
Maintain customer, dealer, architect, vendor and project databases.
Update and manage CRM regularly.
Prepare MIS reports Excel/Google Sheets databases.
Track leads, enquiries, quotations, orders, dispatches, collections and pending activities..
4. Warehouse, Inventory & Dispatch:
Maintain & reconcile inventory.
Handle Dispatch as and when required.
5. Procurement & Market Visits:
Visit local markets, suppliers and vendors to source products, materials, samples, other items.
6. Canva & Social Media Management Support:
Create basic professional designs on Canva for WhatsApp, Instagram, Facebook, LinkedIn and other marketing requirements.
Modify brochures, presentations, flyers, product sheets and marketing material.
Coordinate basic social media posting and maintain a content calendar.
Upload and manage posts/stories/reels across social media platforms.
Track enquiries and leads generated through social media.
Respond to or coordinate responses to basic social media enquiries.

The candidate should gradually be able to understand the business, anticipate requirements, maintain systems and take ownership of responsibilities.
Training & Growth
The candidate will be trained on our products, business model, accounting requirements, CRM, internal systems and processes.
We are willing to invest time in developing the right candidate and create SOPs and processes together.
The role offers the opportunity to grow into a Business Operations / Executive Management position, with increasing responsibility for managing various aspects of the business.
We are more interested in finding someone who is capable, trustworthy, eager to learn and willing to take ownership than someone who has experience in every single responsibility listed above.
