About Leadrat CRM
Leadrat CRM is a SaaS-based Customer Relationship Management platform built for the real estate industry. It helps businesses streamline lead management, automate workflows, manage customer relationships, and improve sales operations through technology-driven solutions.
About the Role
We are looking for an exceptionally sharp, proactive, and street-smart Executive Assistant to work closely with our Founder and CEO.
This is not a conventional administrative role. We need someone who can anticipate requirements, think independently, navigate complex situations, and ensure that priorities move forward without constant supervision.
The individual will serve as a critical link between the CEO and the company's operations team, ensuring clear communication, effective coordination, accountability, and timely execution of important decisions.
The ideal candidate combines exceptional organizational skills with analytical thinking, sound judgment, discretion, and the ability to handle high-pressure situations with confidence and professionalism.
Key Responsibilities
1. Executive & Calendar Management
Manage the CEO's calendar, appointments, meetings, and daily priorities.
Coordinate meetings across different time zones, ensuring efficient scheduling and minimal conflicts.
Anticipate scheduling requirements, identify potential clashes, and proactively suggest solutions.
Ensure the CEO is adequately briefed and prepared for important meetings and engagements.
2. Operational Coordination & Follow-ups
Act as the communication bridge between the CEO, department heads, and the operations team.
Translate instructions and decisions into clear action items, responsibilities, and deadlines.
Follow up with relevant stakeholders to ensure commitments are fulfilled on time.
Track ongoing initiatives, identify bottlenecks, and bring critical issues to the CEO's attention.
Maintain visibility into operational priorities without creating unnecessary dependencies on the CEO.
3. Research & Analytical Support
Conduct business, industry, competitor, and stakeholder research as required.
Gather information, analyse data, and prepare concise summaries to support decision-making.
Build and maintain structured trackers, reports, and dashboards using Excel or Google Sheets.
Verify information thoroughly and present findings with accuracy and clarity.
4. Situational Judgment & Problem-Solving
Handle unexpected changes, conflicting priorities, and sensitive situations calmly and effectively.
Exercise sound judgment in deciding what to resolve independently, what to communicate, and what to escalate.
Navigate difficult conversations and stakeholder conflicts with diplomacy, confidence, and discretion.
Identify potential problems before they escalate and take initiative to find practical solutions.
5. Executive & Administrative Support
Prepare meeting agendas, minutes of meetings, briefing notes, and follow-up summaries.
Manage confidential information and sensitive communications with the highest level of integrity.
Coordinate with internal and external stakeholders on behalf of the CEO.
Handle time-sensitive assignments and special projects with precision and ownership.
Required Skills & Competencies
Strong verbal communication skills. Hindi proficiency is a plus.
Excellent calendar management and scheduling capabilities.
Strong working knowledge of Excel or Google Sheets.
Good research, information gathering, and analytical skills.
Exceptional attention to detail and accuracy.
Strong situational awareness, practical intelligence, and problem-solving ability.
Ability to manage multiple priorities and work across different time zones.
Excellent follow-up, coordination, and stakeholder management skills.
High degree of professionalism, confidentiality, and emotional maturity.
Ability to work independently, exercise judgment, and take ownership without constant supervision.
The Ideal Candidate
We are looking for someone who is:
Street-smart and capable of navigating real-world business situations.
Proactive enough to anticipate the CEO's needs rather than simply respond to instructions.
Thorough, dependable, and exceptionally organised.
Confident in communicating with senior stakeholders and following up with department heads.
Analytical enough to understand the context behind a task, not just execute instructions mechanically.
Calm under pressure and capable of managing conflicting priorities without losing sight of important details.
Trustworthy, discreet, and comfortable handling sensitive business information.
Focused on outcomes, accountability, and execution.
Educational Qualification
Bachelor’s degree in Business Administration, Management, Commerce, Engineering, Computer Applications, or a related field.
Basic understanding of SaaS (Software as a Service), CRM (Customer Relationship Management) systems, and software product-based businesses.
Ability to understand product workflows, business operations, and how technology solutions address customer and organisational needs.
Strong proficiency in MS Excel or Google Sheets, with the ability to organise data, maintain trackers, and prepare reports.
Candidates with relevant experience in executive assistance, business operations, product coordination, or working in a SaaS or technology-driven organization will be preferred.
Success in this role means the CEO can rely on you to stay ahead of priorities, maintain operational visibility, resolve routine issues independently, and ensure that important decisions translate into action.
