About the job

Key Responsibilities:

A. Executive Support:
1. Manage and maintain the founders' calendars, meetings, appointments, and schedules.
2. Coordinate internal and external meetings, including scheduling, agendas, and follow-ups.
3. Prepare meeting notes, action items, and ensure timely closure of pending tasks.
4. Act as a point of coordination between the founders and internal/external stakeholders.
5. Manage emails, messages, documents, and other executive communications as required.

B. Business & Operations:
1. Track ongoing tasks, projects, deadlines, and deliverables across teams.
2. Follow up with relevant stakeholders to ensure timely execution.
3. Maintain trackers, reports, presentations, and business documents.
4. Help streamline recurring processes and improve operational efficiency.
5. Support the founders in executing strategic and operational priorities.

C. Research & Analysis:
1. Research companies, industries, markets, competitors, and potential partners.
2. Prepare concise summaries, briefs, and presentations for the founders.
3. Gather and organise information required for meetings, partnerships, and business decisions.

D. Partnerships & Coordination:
1. Coordinate with clients, colleges, corporate partners, vendors, and other external stakeholders.
2. Assist with outreach, follow-ups, scheduling, and partnership-related activities.
3. Ensure timely communication and follow-through on commitments made by the company.

E. Ad-hoc Founder Support:
1. Handle time-sensitive and confidential assignments with discretion.
2. Take ownership of tasks assigned directly by the founders.
3. Identify potential bottlenecks and proactively resolve or escalate them.
4. Be comfortable switching between different priorities based on business requirements.

Other requirements

1. Bachelor’s degree in any discipline.

2. 1+ years of relevant experience in executive assistance, operations, business development, consulting, or a similar role.

3. Excellent written and verbal communication skills.

4. Strong organisational and time-management skills.

5. Proficiency in Google Workspace/Microsoft Office, especially Docs, Sheets, Excel, and PowerPoint.

6. Ability to multitask and manage multiple priorities simultaneously.

7. Strong attention to detail and follow-up skills.

8. Ability to work independently and take initiative.

9. High level of professionalism, discretion, and ownership.
