Executive Assistant to the Founder

Heads Up For Tails

About the role

We are looking for an exceptional Executive Assistant to work closely with Rashi Narang, Founder of Heads Up For Tails.

This is not a conventional administrative role.

The Founder’s day moves across brand, products, retail, people, customer experience, partnerships, new ideas and business priorities—often all at once. We need someone who can bring clarity and structure to this pace, protect her time and ensure that important things keep moving.

You will act as an extension of the Founder: helping her prioritise, preparing her well, capturing decisions, coordinating across teams and following through until things are truly complete.

The right person will be highly organised, thoughtful, discreet and calm under pressure. You should be able to move comfortably between scheduling a critical meeting, preparing a concise brief, chasing an important decision, coordinating with a senior leader and noticing something that may otherwise fall through the cracks.

Most importantly, you must have excellent judgment. You should know what needs the Founder’s attention, what can be delegated and what can be solved without adding another decision to her day.

What you will do

Bring clarity and structure to the Founder’s daily and weekly priorities.
Own a complex calendar, protect focus time and ensure the Founder is well prepared for important meetings.
Maintain one reliable system for tasks, decisions, commitments and follow-ups.
Coordinate across teams and ensure agreed actions move forward without repeated reminders.
Triage emails, messages and requests—identifying what needs the Founder’s attention and what can be delegated.
Prepare concise briefs, conduct research and draft clear communication where required.
Anticipate needs, spot gaps early and solve problems before they become urgent.
Handle sensitive business and personal matters with complete discretion.
Most importantly: create more space for the Founder to think, create and lead.

What we are looking for

5–8 years of experience supporting a founder, CEO or senior business leader in a fast-moving organisation.
Exceptional organisational ability and close attention to detail.
Strong written and verbal communication.
High emotional intelligence and the ability to work with different personalities.
Excellent judgment, discretion and reliability.
A strong bias for action—you look for solutions and move things forward.
The confidence to follow up with senior people, ask the right questions and respectfully push for clarity.
The ability to absorb large amounts of information and identify what truly matters.
Comfort working with ambiguity, changing priorities and imperfect information.
Strong research, documentation and digital-tool skills.
Genuine warmth, humility and respect for people at every level.
An affinity for animals and alignment with the belief that pets are family.

You may be right for this role if

You naturally create order where others see chaos.
You remember the detail everyone else forgets.
You do not wait for repeated instructions.
You close loops.
You are calm when ten things are happening at once.
You know that being proactive also means exercising good judgment.
You can be warm and deeply respectful while still holding people accountable.
You take pride in making another person—and the larger organisation—more effective.
You care about both the quality of the work and the way it gets done.

This role may not be right for you if

You need every task to come with detailed instructions.
You see follow-ups as reminders rather than ownership.
You are uncomfortable with rapidly changing priorities.
You forward problems without first thinking through possible solutions.
You enjoy starting things more than completing them.
You view this as primarily a calendar-management role.

What success looks like

Within the first few months:

The Founder has a clear and manageable view of her priorities.
Meetings are better prepared and result in clear action.
Follow-ups happen without repeated intervention.
Fewer important matters fall through the cracks.
Teams know where decisions stand and what needs to happen next.
The Founder spends less time coordinating and more time thinking, creating and leading.
