ABOUT THE ROLE

The Accounting Specialist is responsible for managing and supporting the organization's core accounting and financial operations. This role ensures the accurate and timely processing of Accounts Payable (AP), Accounts Receivable (AR), cash applications, reconciliations, tax-related postings, and month-end close activities. The position plays a critical role in maintaining financial integrity, regulatory compliance, and efficient financial reporting while supporting internal stakeholders and business decision-making.

The ideal candidate is detail-oriented, highly organized, and capable of managing multiple accounting processes within a fast-paced environment. Strong analytical skills, problem-solving abilities, and a commitment to accuracy are essential for success in this role.

WHAT MAKES THIS ROLE UNIQUE

  • Direct impact: Work closely with the CFO and teams in Canada and India.
  • Prestige & stability: Backed by Canon—one of the world’s most trusted brands
  • Global exposure: Collaborate across geographies and time zones

YOU ARE!

You take pride in numbers that tie out to the penny — and here’s what else sounds like you:

  • Detail-driven: You catch a $12 discrepancy before it becomes a $12,000 problem, and it genuinely bothers you when the numbers don’t match.
  • Structured: You’d rather build a repeatable process than fight the same fire twice, and your reconciliations and schedules are clean enough for anyone to pick up.
  • Deadline-driven: Month-end doesn’t rattle you — you thrive on the rhythm of close and hit every deadline without cutting corners.
  • Growth-minded: You’re working toward (or thinking about) your CPA, and you want a role that builds real technical depth, not just data entry.
  • Accountable: You want to own your numbers rather than be micromanaged, and you take that responsibility seriously.
  • Globally curious: You want exposure beyond a single ledger — collaborating with finance leaders and teams across Canada and India, not just your own office.

Key Responsibilities

Accounts Payable & Receivable

  • Manage day-to-day Accounts Payable and Accounts Receivable activities.
  • Review, verify, and process vendor invoices, ensuring accuracy and appropriate approvals.
  • Ensure timely payment of vendor obligations in accordance with company policies.
  • Generate customer invoices and monitor outstanding receivables.
  • Follow up on overdue accounts and support collection efforts to optimize cash flow.
  • Investigate and resolve invoice, payment, and account discrepancies.

  • Process and apply customer payments accurately and timely.
  • Record and reconcile bill payments and other cash transactions.
  • Perform monthly bank reconciliations and resolve outstanding reconciling items.
  • Prepare, book, and reconcile corporate credit card transactions and statements.
  • Conduct intercompany reconciliations and coordinate resolution of variances.

Reporting & Month-End Close

  • Maintain and monitor Accounts Payable aging reports.
  • Prepare and post recurring journal entries, accruals, and adjustments.
  • Manage prepaid expense schedules and monthly amortization entries.
  • Perform payroll tax postings and related accounting entries.
  • Support month-end and year-end close processes, including income and expense confirmations.
  • Assist with financial reporting and variance analysis.

  • Provide ad hoc financial reporting and analysis to management.

  • Prepare and submit indirect tax filings and related remittances.
  • Process tax-related accounting entries within QuickBooks Online (QBO).
  • Complete WSIB reporting, reconciliations, and required postings.
  • Maintain compliance documentation and support regulatory requirements.
  • Ensure accounting records comply with company policies and applicable accounting standards.

Operational & Audit Support

  • Assist in the preparation of project-specific financial reports and analysis.
  • Maintain organized accounting records and supporting documentation.
  • Support internal and external audit requirements by providing requested schedules and documentation.
  • Identify opportunities for process improvements and increased operational efficiency.
  • Collaborate with cross-functional teams to ensure accurate financial information and effective controls.

Qualifications & Experience

Education

  • Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Progress toward a CPA designation is considered an asset.

Experience

  • Minimum 3-5 years of accounting experience with responsibility for AP, AR, reconciliations, and month-end activities.
  • Experience working in a multi-entity or intercompany accounting environment is preferred.
  • Experience with QuickBooks Online (QBO) or similar ERP/accounting systems.
  • Experience with payroll tax postings, indirect taxes, and compliance reporting is an asset.

Technical Skills

  • Strong understanding of accounting principles and month-end close processes.
  • Proficiency in Microsoft Excel, including pivot tables, lookups, and data analysis.

  • Ability to analyze financial data and identify discrepancies.
